Attendance Rules & Regulations
At Techno International Batanagar (TIB), we believe that regular attendance is vital for academic success and personal growth. Consistent attendance not only ensures that students benefit fully from classroom instruction, but it also cultivates discipline and responsibility, which are essential qualities for their future careers.
The Attendance Rules & Regulations at TIB are designed to help students maintain a strong academic record while ensuring they are actively engaged in their learning journey.
General Attendance Guidelines
- Minimum Attendance Requirement
- Students must maintain a minimum of 75% attendance in both theory and practical classes individually, in each semester, to be eligible for sitting in the end-semester examinations.
- Failure to meet the 75% attendance requirement may lead to disqualification from exams and other academic consequences.
- Tracking Attendance
- Attendance is recorded on a daily basis by the respective faculty members during both theory lectures and practical sessions.
- The attendance data will be made available to students through the institution’s learning management system (LMS) or through notice boards.
- Absence Reporting
- In case of absence due to illness, emergency, or any other valid reason, students must inform the respective faculty member or the Head of Department (HOD) in advance or within 24 hours of the absence.
- A medical certificate or relevant documentation must be provided for any extended or long-term absence due to health-related reasons.
- Leave Application
- A formal leave application must be submitted by students for planned absences (such as for family events, personal reasons, etc.). The application must be approved by the respective HOD and faculty members before taking leave.
- Leave for more than 3 consecutive days should be accompanied by proper documentation (medical certificates or travel documents).
- Unauthorized Absences
- Absence without prior permission or valid justification will be marked as unauthorized and will be subject to disciplinary action.
- Repeated unauthorized absences can result in penalties such as a warning, removal from the examination list, or even discontinuation of course registration.
- Attendance in Laboratory Classes
- Attendance in laboratory classes is mandatory as practical learning is a crucial component of engineering education. Students must ensure they attend all practical sessions, as absence will be treated similarly to theory classes.
- Missed lab sessions due to valid reasons must be made up with prior approval and arrangement with the concerned faculty member.
Special Attendance Considerations
- Participation in Co-Curricular and Extra-Curricular Activities
- Students participating in institutional events, competitions, or university-approved programs (such as sports, fests, research projects, etc.) will be granted attendance for the days they are representing the college.
- Prior approval from the respective HOD and faculty is required to ensure the attendance is marked for such days.
- External Exams and Competitions
- If students are attending external exams, professional certifications, or competitions, they may be granted leave with prior approval and based on the discretion of the faculty and HOD.
- Leave during Exam Preparation Period
- Students are encouraged to attend all classes, even during the pre-exam period, as continuous learning and review play an important role in exam success. However, students may be granted a reasonable number of days for study leave before exams.
Consequences of Low Attendance
- Warning Letters
- If a student’s attendance falls below 75% but above 70%, a warning letter will be issued. The student will be required to improve attendance and provide valid reasons for the shortfall.
- Not Eligible for Examinations
- Students with less than 70% attendance in any subject, including theory and practical sessions, will not be allowed to sit for the end-semester exams. They will be required to repeat the semester or take supplementary exams, subject to approval from the academic committee.
- Disciplinary Action
- Students with persistent low attendance (below 60%) may face stricter disciplinary action, including academic probation or detention from the course.
- Record of Attendance
- Attendance records are maintained and can be accessed by students and parents through the Student Information System (SIS). The final attendance report is sent to parents at the end of each semester for review.
Attendance Monitoring and Appeals
- Attendance Review Committee
- An Attendance Review Committee will periodically review attendance records to ensure fairness and transparency in the monitoring process. This committee will address any issues related to unjustified attendance discrepancies.
- Appeals Process
- If a student believes there are valid reasons for their absence and seeks reconsideration of attendance-related penalties, they can submit a formal appeal to the Attendance Review Committee. The committee will assess the situation on a case-by-case basis.
Responsibilities of Students
- Regularly attend all classes and be punctual.
- Keep track of their attendance via the institution’s portal.
- Submit leave applications and necessary documents in advance for any absences.
- Attend make-up classes or additional sessions if required.
- Be proactive in engaging in all academic activities and ensure they stay up to date with classwork.
